Dear John,

Being a Customer Service Specialist with 3+ years of experience in the telecommunications and ISP industries, I have a proven track record of customer retention 37% higher than the company average at Orange. I am ready to leverage those skills to reduce cancellations and refunds for iO Telecom.

In my current position, I make and receive 125+ calls a day from new and existing customers. I maintain a 96% customer satisfaction, which is 10% over the company average. Although it is a problem resolution role in its essence, I have been able to implement some NLP upselling techniques to drive upgrades, which created £15,000 in new revenue. These results have led me to be chosen to train new and existing customer service colleagues, and I have so far trained and onboarded 4 new arrivals, and updated the existing team of 12 on new policies. By implementing the NLP techniques I use on problem calls, I have been able to improve customer retention by 8% for the whole team.

I am confident that my proven track record in upselling, conflict resolution and colleague training will translate to improved customer retention and more revenue for iO Telecom.

When would be a good time to set up an appointment to discuss how we can implement NLP techniques on complaint calls?

Best Regards,

Faith Cartwright

Now let’s see how to write your own customer service cover letter that will have your lines red hot.

1. Use a professional header and a proper salutation in your customer service cover letter

First things first. Here's how to address a cover letter. Align your contact details, including email and phone number to the right. Drop a space, and list the name, position and address of the hiring person, aligned to the left. Below, record the date, and the subject of the letter.

Use a proper salutation, addressing the hiring manager by first name if possible. It’s better than using a general salutation such as ‘To Whom It May Concern’.

2. Open your customer service cover letter strongly

CSR cover letters and CVs are a dime a dozen. Because of this, none of them will be getting in-depth looks right off the bat.

So in the opening paragraph of your cover letter make yourself stand out with a strong, relevant achievement that lines up with their goals, and explain how you can apply those skills to the new employer’s situation. Limit this to 40-80 words.

3. Showcase achievements in the second paragraph of your cover letter for customer service

What to include in the main body of your cover letter? Pick the 2 or 3 achievements from your customer service CV that most accurately match the requirements that the employer describes in the job advertisement. Underline the customer service skills that helped you to succeed in your previous roles.

Try and put your impact into numbers by estimating the volume of queries you process, your effectiveness, savings, improvements or achievements you made. Anyone can pick up the phone. You make the magic happen, however.

This makes up the majority of your CSR cover letter, and should be somewhere between 120 and 200 words.

4. Wrap up your customer service cover letter with a call to action

The last paragraph of your CSR cover letter should tie up the loose ends and explain exactly how your achievements and proven hard and soft skills will produce results for your new employer.

Limit your cover letter ending to 60-80 words. Below, in a single sentence, ask for an interview or call to discuss how you can start improving their business. Sign your letter of application with a formal closing, such as ‘Best Regards’.

5. Use a professional customer service cover letter format

Just like your phone manner, your work experience cover letter must project confidence and calm, and be neatly organised and controlled. Follow these easy cover letter rules for formatting:

Customer service cover letter length rules

  • How long should a cover letter be? 200-350 words total. From half a page of A4, up to 1 page of A4.
  • Opening paragraph—between 60 and 80 words
  • Main body—between 120 and 200 words
  • Closing paragraph—between 40 and 60 words

Match the customer service CV

The structure of your cover letter and CV should match—as they form a whole document together. Find a shortcut to your customer service advisor CV

Choose an easy-to-read font

Use a simple template and don’t make it hard on the eyes by using a font that is too small or too fancy. Stay between size 10 and 12, and go for a classic like Arial, Noto, Garamond or the default Calibri.

Use white space

A neat cover letter layout will direct the reader’s gaze by leaving spaces between sections and paragraphs. If you have a huge block of text in the middle, consider pulling out some bullet points to organise it neatly.

Apply even margins

Centre and space your customer service cover letter by setting even 1-inch margins on all sides. If your cover letter is shorter than most, you can extend this to 1.5-inch to improve the presentation.

One cover letter for one job

Customer service differs from company to company. Different industries, different approaches. To maximise your chances, research every company you apply to and target your cover letter and CV to their requirements. You can send email cover letters, too.

When you write a new cover letter from scratch for every application, you have a better chance of being perceived as the perfect candidate. The research will also let you get a feel if you really want to work there. Displaying a ‘culture fit’ is a sure-fire way to get hired.

Save your customer service cover letter in PDF

One last tip: Unless asked for your cover letter in a *.doc format, save in the PDF format to protect your formatting and keep your application letter in the perfect shape.

A cover letter alone simply won’t be enough—you need an impactful CV, too. Create your CV in minutes. Just follow our wizard and fill in every CV section with ready-made content. Get started by choosing a professional CV template.
